Fields: Assets

Assets includes the tools and options needed to create, edit, and delete assets in your digital asset hierarchy. This includes setting up new folders (directory nodes) within the hierarchy, editing and removing folders, importing and exporting assets and metadata, and configuring asset management settings.

Assets

Sort

Arranges the folders and assets in the digital asset hierarchy in ascending order by either name (Alphabetically) or the date the folder or asset was added to the hierarchy (Chronologically). The default value is Chronologically.

Important:  The selected Sort value is in effect when you are on the Assets page. The Sort value returns to Chronologically when you leave and return to the Assets page, when you add a directory node or asset to the hierarchy, or if you log out of Portfolio and log in again.

Directory

Displays the digital asset hierarchy. The arrangement of the folders and assets depends on the option selected in the Sort field.

Asset Filter

Controls which child assets are visible under Directory Contents. Select one of the following values for this field.

Option Description

All Assets

Displays all digital assets in the selected directory. This option is the default selection.

Published Only

Displays only the digital assets that have a search status of Published. The Published assets appear in the hierarchy in regular, black font. These assets can be searched and viewed by patrons unless security requirements prevent the patron from viewing the assets.

Staged Only

Displays only the digital assets that have a search status of Staged. The Staged assets appear in the hierarchy in italic, gray font. These assets do not display in search results lists presented to the patron.

Hidden Only

Displays only the digital assets that have a search status of Hidden. The Hidden assets appear in the hierarchy in italic, gray font. These assets do not display in search results lists presented to the patron.

Note the following about the Asset Filter field.

  • This field only affects the display of assets. It does not affect the display of directory nodes.
  • Asset counts next to folders under Directory will remain the same. The asset counts are not changed based on the selected filter.
  • This field will not affect default values that you set for adding new directory nodes.
  • The field does not affect the adding, editing, copying, moving, and deleting of folders and assets.
  • The selected filter will be used in addition to other filters. It will not override any of the security filters.

Items Per Page

Specifies the number of assets and folders that can display at one time under Directory Contents when you select a folder under Directory in the hierarchy. The default value is 10.

The total number of assets and folders in the selected folder displays to the right of the Items Per Page field. If the number of assets and folders in the selected folder exceeds the value specified in Items Per Page, navigation options display below the number of assets and folders. Use these options to view the previous or next page of assets and folders, or to move to a specific page.

Directory Contents

Displays the child directory nodes and/or assets that are in the directory that is selected under Directory.

Note:  The option selected in the Asset Filter affects the display of the child assets. Assets may not appear if Asset Filter is set to exclude them from the display. For example, if all of the assets in a directory have a search status of Staged, and Asset Filter is set to Published Only, no assets display in the directory since only assets with a search status of Published can display.

Select All

Allows you to select all the assets on that page. This action only affects the assets displayed on the current page, but the selection will remain while navigating between pages of the same folder. When switching to other views or folders, the selection clears.

Bulk Action

Allows you to perform an action on multiple selected assets.

Option Description

Edit Metadata

Allows you to modify the asset metadata for the selected assets. For more information, see Bulk editing metadata.

Transfer Metadata

Allows you to change one metadata field into another metadata field, allowing you to easily transfer metadata from one field to another for selected assets. For more information, see Modifying the details of a digital asset.

Management options

Lets you manage directory nodes and assets by adding, viewing, editing, or deleting them. You can also import data, manage asset resources, manage OAI-PMH harvesting settings, and specify required fields for metadata.

Option Description

View

Displays the digital asset, if it is a media type that can be viewed. For more information, see Viewing a digital asset.

Edit

Allows you to modify access information for directory nodes and assets. For assets, this option allows you to modify the asset metadata. For more information, see Editing a folder or Modifying the details of a digital asset.

Resources

Allows you to view and modify the resources associated with an asset. For more information, see Fields: Manage Resources.

Delete

Moves the selected directory node or asset from the hierarchy to a special holding area. This area keeps the directory nodes or assets until they are restored to the digital asset hierarchy, or removed permanently from the system. For more information, see Deleting a folder or Deleting a digital asset.

Note: The Delete option does not permanently delete the selected directory node or asset.

Add Asset

Creates a new digital asset in the selected directory node. For more information, see Adding a digital asset.

Add Folder

Creates a new directory node (folder) in the digital asset hierarchy. For more information, see Creating a new folder.

Deleted Assets

Manages the deleted assets and folders in the holding area. Options on the Deleted Assets page allow you to remove the deleted items permanently from the system, or to restore them to the locations from which they were deleted in the digital asset hierarchy. For more information, see Managing deleted assets and directory nodes.

Import/Export Assets

Imports a DiXML file of asset records into the digital hierarchy, or creates a compressed file of assets and metadata to be imported into other instances of Portfolio. This option also has options for you to review the status of recent imports or exports of assets and metadata. Configure Asset Management

Contains options for creating and managing metadata templates, and creating and managing media types. For more information, see Configuring asset management.
