Fields: Configure Search Field Properties
Configure Search Field Properties lets you configure certain properties for a specific search field. You can specify whether the search field is repeated, how the data in the search field is delimited for display, when to truncate the data in the search field, and whether or not the field is to display next to the previous search field. You can also update the name of the search field and any translations of the name in the languages on the system.

If you add or edit the settings for a display, you must refresh the Discovery search cache afterwards. Your changes are not reflected in Searching or the Admin console until you refresh the search cache. For more information about refreshing the Discovery search cache, see Refreshing the search cache. |

My List Display
Displays the name of the My List display for which you are configuring search field properties.
Search Field
Displays the name of the search field that you are configuring. This search field name is based on what you chose on the Choose Search Field page.
Previous Field
Displays the name of the search field that will display before the search field that you are configuring in the My List list. For example, if you are configuring the Author search field properties, and the selected My List display is configured to show the Title field first for each item in the list, the Previous Field value is Title. If no field will precede the search field that you are configuring, the Previous Field value is None.
Name
Specifies the system name of the search field (up to 80 characters) for the specified language. This name is used on My List Displays and on other pages in the Admin console that display the search field name.
This name is also displayed as the label for the search field data on the My List display. For example, if you choose “Title” as the name of the search field, Portfolio will display “Title” as the label for the title information in the My List.
For this field, you can also specify an alternate name for a specific language. Choose the language from the drop-down list of supported languages, then enter the localized name in the field.
Note: If your web browser is configured to use a display language that is not supported by Portfolio and you have chosen to display the Admin console in a language other than the default language (en_US), the language that displays in the drop-down list of supported languages defaults to US English.
If a localized name already exists for a specific language, the software displays that language name differently in the drop-down list. When you enter a localized name for a specific language, the language name appears with a “++” suffix. If you clear the localized name for a specific language, the software displays the language name without the different formatting.
Repeat
Specifies the number of times to repeat this search field. For example, if a library item has multiple authors and you want to include them in the My List, you can repeat the Author field a specified amount of times.
By default, Repeat is set to 1 for the Title field. For all other repeatable fields, Repeat is automatically set to 5.
Note: If a field is not repeatable, by default Repeat will be 1.
Delimiter
Specifies the delimiter used to separate multiple pieces of data within a single search field when the data is displayed in Searching. For example, if you configure the Author field to be repeated up to 3 times and delimit the data with a line break, then Searching will display up to three authors on separate lines for each item in the My List list.
You can choose these options:
Option | Description |
---|---|
Space |
Separates each value of search field data with a single space. This is the default selection. |
Linebreak |
Separates each value of search field data with a line break. |
Commaspace |
Separates each value of search field data with a comma followed by a single space. |
Character Cutoff
Specifies that number of characters in the search field to display before truncating the data. For example, if you were configuring the Summary field, you may choose to truncate the data after 180 characters. That means that Portfolio would display the first 180 characters for any record containing summary data.
Important: If you enter “0” (zero) or a negative number as the character cutoff value, Portfolio will not truncate the data and will display all the data for that search field.
Adjacent to Previous Field
Specifies that search field data displays on the same line as the data from the preceding search field.
For example, if you want to display Title, Author, and Publication Date with the Publication Date on the same line as the Author, you would use this configuration:
Search Field | Adjacent to Previous Field setting |
---|---|
Title |
No |
Author |
No |
Publication Date |
Yes |
When Adjacent to Previous Field is selected for the Publication Date field, the data displays on the same line as the Author field.
Title: The Adventures of Huckleberry Finn, Author: Twain, Mark 2008
When Adjacent to Previous Field is enabled, the label for the search field does not display.
Note: The first search field cannot be selected for Adjacent to Previous field. For more information about how to change the order of the search fields, see Fields: Choose My List Display Fields.
If a search field is selected for Adjacent to Previous Field, but the preceding search field does not return any values, it displays on a new line. For example, if a search does not return a value for the Author field, the Publication date field value (2008) appears on a new line.
Title: The Adventures of Huckleberry Finn, Publication Date: 2008
By default, the Adjacent to Previous Field check box is clear.
